Joint Commission Audit / Personal File Helpful Hints

It is that time when Aureus Medical is in its Joint Commission audit window. Joint Commission’s goal is to make sure that we as a company are following our internal policies and procedures. We must maintain current employee records as well. This all leads to their ultimate goal which is patient safety and satisfaction. Therefore, what can you do as a traveling healthcare professional to help ensure the highest level of patient safety and stay compliant with Joint Commission standards? Here are a few helpful hints to making sure the review goes off without a hitch.

1. Licenses, Board Credentials, and Certifications:

  • Utilize Microsoft Excel to maintain information including expiration dates to help track necessary information.
  • Submit necessary paperwork to licensing and credentialing boards well in advance of expiration dates.
  • Provide Aureus Medical up to date copies of all licenses and certifications for your personal files.
  • Don’t forget to sign your cards prior to submitting to Aureus Medical.
  • There is a free app called CamScanner that can be downloaded onto smart phones to help submit copies of legal documents.

2. Medical Records:

  • Aureus Medical will schedule our employees for required immunizations and health screenings. It is important to visit the clinic as soon as you are scheduled. Remember to obtain a copy of all medical records prior to leaving the clinic. This will help in expediting receipt of those records.
  • Keeping your medical records current helps to prevent additional vaccinations or screenings.

3. Education:

  • We require that all employees complete our annual training. This is also a Joint Commission requirement and may take some time to complete. Please give yourself plenty of time to complete prior to expiration.
  • Many facilities are requiring copies of high school and college diplomas. Remember to bring copies with you on the road as they can typically be hard to track down away from home.

4. Customer Service / Patient Satisfaction:

  • As healthcare professionals, it is our goal to provide the safest and best patient care that we can to our patients. Please remember not to accept or perform work outside of your scope of practice and notify your Site Supervisor and Account Manager immediately if this happens.
  • Remember that you are a guest in someone else’s house. Be mindful and respectful of this.

For your protection it is extremely important to make sure that you maintain your personal files with up to date information.
